An exchange is a transaction with a return obligation
An ultrasound probe exchange may provide another unit in return for your existing probe. That is not necessarily a repair of the same physical unit. Identify both items and the written conditions before comparing the exchange amount with a straightforward purchase or repair.
Philips’ August2024 brochure describes replacement through an exchange process followed by return of the damaged transducer. GE HealthCare’s US probe-service terms also describe ownership and exchange-price conditions. These are examples of those manufacturers’ programs, not proof that a particular AZNO provider offers an exchange or follows the same terms.
Confirm local availability and the current agreement. Do not assume a brochure’s service timing, eligibility or coverage applies to another market, provider or probe. A purchasing checklist cannot decide a contractual dispute or establish clinical suitability.
Write a core-return register before approving the order
Create one record that identifies the probe being returned and a separate record for the unit being supplied. Include full model, part number or revision, serial or asset identity where permitted, current condition and the accessories expected with each unit. Keep equipment records free of patient information.
Ask which cores are eligible. Does the quoted amount assume a particular model, connector, manufacturer origin, repair history or damage condition? Who assesses eligibility, at what stage, and how will a changed assessment be documented? Record the response as a condition, not as an assumed guarantee.
Next, obtain the return authorization, destination, permitted shipping method and exact deadline trigger. A deadline measured from delivery differs from one measured from dispatch or invoice. Identify the person who will pack, dispatch and retain tracking, and use the manufacturer’s current equipment handling and reprocessing instructions.
Keep credits, deposits and charges in separate lines
Ask whether the price is already net of the core credit. GE’s cited US terms illustrate why this matters: they say the exchange value is calculated into the purchase price. Subtracting that same credit again would understate the budget. They also identify separate evaluation, loaner and shipping responsibilities.
Request any refundable deposit, non-return charge, late-return charge, rejection adjustment and freight or tax treatment explicitly. A blank is unknown, not free. Do not assume a deposit is the same as an extra charge, or that every exchange uses a deposit at all.
Maintain two views: cash payable at order and final spending after the actual return outcome. If a charge depends on eligibility or timing, show the confirmed base separately from the conditional exposure. Do not invent a probability, resale value or savings percentage to turn uncertainty into a preferred result.
The supplied unit still needs its own evidence
An accepted core does not establish the condition or suitability of the replacement. Ask who manufactured the supplied unit, whether it is new, used, refurbished or repaired, and which records apply to that exact item. Keep commercial origin and scanner compatibility as separate checks.
Request the provider’s documented assessment and limitations, complete configuration, included connector and cable, written warranty and the process if the supplied unit is unsuitable. Your qualified facility team determines the applicable acceptance requirements. This article does not prescribe electrical, acoustic or reprocessing tests.
If a temporary loaner is involved, record it as a third unit with its own accessories, fees and return trigger. Do not send back a loaner against the core-return instruction or assume that a confirmed replacement order cancels a separate temporary-equipment obligation.
Close the exchange with records, not only a courier scan
Keep the return authorization, equipment identity, packing record and shipping receipt together. Obtain confirmation that the provider received the intended core and accepted it under the quoted arrangement. A courier delivery scan establishes delivery, not necessarily the provider’s eligibility decision or financial close-out.
Reconcile the final invoice or credit against the original quote and any approved change. Ask for an explanation of unresolved differences before recording the exchange as complete. Preserve warranty and supplied-unit records separately so the return paperwork does not become the only evidence retained for the replacement.
AZNO’s practical synthesis: compare repair, purchase and exchange using the same technical requirement and disclosed costs, then assign an owner to every return obligation. AZNO organizes commercial information; this guide does not guarantee a core’s acceptance, a replacement’s availability, or a supplier’s performance.
